Privacy Policy

Your privacy is critically important to us. At Galaxy.ai, we have a few fundamental principles:

  • We try to collect as little personal information as possible.

  • We aim for full transparency on how we gather, use, and share your personal information.

  • We are thoughtful about the personal information we ask you to provide and the personal information that we collect about you through the operation of our services.

  • We store personal information for only as long as we have a reason to keep it. Below is our Privacy Policy, which incorporates and clarifies these principles.

1. Who We Are and What This Policy Covers

This Privacy Policy applies to information that we collect about you when you use:

  • Our website;

  • Our web application (Galaxy.ai);

  • Our mobile applications (Galaxy.ai for iOS and Android).

Throughout this Privacy Policy we'll refer to our websites, mobile applications, and other products and services collectively as "Services."

2. Information We Collect

We only collect information about you if we have a reason to do so — for example, to provide our Services, to communicate with you, or to make our Services better. We collect this information from three sources: if and when you provide information to us, automatically through operating our Services, and from outside sources. Let's go over the information that we collect.

2.1 Information You Provide to Us

It's probably no surprise that we collect information that you provide to us directly. Here are some examples:

  • Basic account information: We ask for basic information from you in order to set up your account. For example, we require individuals who sign up for a Galaxy.ai account to provide an email address and password (if no third-party login is used).

  • Business Profile: Some of our products collect additional information from you as part of creating a user/customer profile. We use the information you provide us like your timezone and location information, your company and team information, and your contact information, to set up your account and power the Service's features.

  • Communications with us: You may also provide us with information when you respond to surveys, communicate with us about a support question or post a question in our public forums. When you communicate with us via email, public forum comments, or otherwise, we may store a copy of our communications.

2.2 Information We Collect Automatically

We also collect some information automatically:

  • Log information: Like most online service providers, we collect information that web browsers and mobile applications typically make available, including the browser type, language preference, referring site, mobile device identifier, the date and time of access, operating system, and mobile network information. We collect log information when you use our Services — for example when you create or make changes to your Galaxy.ai account.

  • Usage information: We collect information about your usage of our Services. For example, we collect information about the actions users perform when using our applications — in other words, who did what and when. We use this information to provide our Services, as well as to get insights about how people use our Services, so we can make our Services better.

  • Location information: We may determine the approximate location of your device from your IP address for security and personalization purposes. Our mobile application may collect precise location information from your mobile device, but only with your explicit permission, and you can disable this collection through your device settings at any time.

  • Device information: We collect specific information about the device you use to access our Services, including:

    • Hardware model and manufacturer (e.g., iPhone 13, Samsung Galaxy S22)

    • Operating system and version (e.g., iOS 16.2, Android 13)

    • Screen size and resolution

    • Unique device identifiers (such as Android ID or iOS Identifier for Vendors)

    • Mobile carrier and network information

    • Performance and memory usage statistics

    • Installed app version

    • Device language and time zone settings

  • Mobile-specific analytics: For our mobile applications, we collect additional analytics data to help us improve the app experience, such as:

    • App launch count and usage frequency

    • Feature usage statistics

    • Navigation paths within the app

    • Crash reports and app errors (via services like Firebase Crashlytics)

    • App performance metrics (load times, response times, etc.)

    • Battery usage related to our app

    • Network request successes and failures

  • Transactional information: When you make a purchase through our Services, we collect information about the transaction, such as product details, purchase price, and the date and location of the transaction.

2.3 Information We Collect from Other Sources

We may also get information about you from other sources. For example:

  • Third Party Login: If you create or log in to your Galaxy.ai account through another service (like Google, Apple, or Facebook) we'll receive associated login information (your email address and authentication details). The information we receive depends on which services you use or authorize and what options are available.

3. How and Why We Use Information

3.1 Purposes for Using Information

We use information about you for the purposes listed below:

  • To provide our Services. For example, to set up and maintain your account, provide customer service, process payments and orders, and verify user information.

  • To ensure quality, maintain safety, and improve our Services. For example, by providing automatic upgrades and new versions of our Services. Or, for example, by monitoring and analyzing how users interact with our Services so we can create new features that we think our users will enjoy and that will help them create and manage websites more efficiently or make our Services easier to use.

  • To protect our Services, our users, and the public. For example, by detecting security incidents; detecting and protecting against malicious, deceptive, fraudulent, or illegal activity; fighting spam; complying with our legal obligations; and protecting the rights and property of Galaxy.ai and others, which may result in us, for example, declining a transaction or terminating Services.

  • To fix problems with our Services. For example, by monitoring, debugging, repairing, and preventing issues.

  • To communicate with you. For example, by emailing you to ask for your feedback, share tips for getting the most out of our products, or keep you up to date on Galaxy.ai; texting you to verify your payment; or calling you to share offers and promotions that we think will be of interest to you. If you don't want to hear from us, you can opt out of marketing communications at any time. (If you opt out, we'll still send you important updates relating to your account.)

  • To personalize your experience. We may use information about you to personalize the Services we offer, including remembering your preferences, serving relevant content, and facilitating social sharing.

3.2 How we store your information

  • We are committed to protecting your privacy and ensuring that your personal information is secure. We store your information in accordance with our stringent data protection protocols designed to prevent unauthorized access, disclosure, alteration, or destruction.

  • We employ a variety of security measures, including encryption and authentication tools, to maintain the safety of your personal information. Data is stored for as long as necessary to provide you with the services you have requested or for other essential purposes such as complying with our legal obligations, resolving disputes, and enforcing our policies.

4. Mobile Application Specific Provisions

4.1 Mobile Application Permissions

Our mobile applications may request certain permissions that allow them to access features of your mobile device. Below we explain each permission requested and why it's necessary:

  • INTERNET: This permission is essential for our app's core functionality, allowing the application to connect to our servers, sync your data, and provide real-time updates and features. Without this permission, the app would not be able to function properly.

  • READ_EXTERNAL_STORAGE/WRITE_EXTERNAL_STORAGE: We request access to your device's storage to enable important features such as:

    • Uploading files and documents to our service

    • Downloading and saving reports and documents for offline access

    • Temporarily storing data to improve app performance

    • Backing up your settings and preferences

    • Processing documents and files as part of our service functionality

  • CAMERA: We request access to your device's camera to enable features that allow you to scan documents, upload images, and participate in video conferences within the app. This permission is only active when you explicitly use these features.

  • LOCATION (approximate and/or precise): We may request access to your device's location to provide location-based services relevant to our application's functionality, such as finding nearby resources or optimizing recommendations based on your location. You can disable location services in your device settings at any time.

  • RECORD_AUDIO: We request access to your device's microphone for specific features such as:

    • Voice commands and dictation

    • Voice notes and recordings

    • Audio input during video conferences or meetings

    • Voice-enabled features within the app This data is processed according to our privacy policy and is only recorded when you actively use these features.

  • NOTIFICATIONS: We may request permission to send you push notifications about your account, updates to our Services, or other relevant information. You can disable notifications in your device settings at any time.

You can manage all of these permissions through your device settings at any time. Please note that certain features of our applications may not be available if specific permissions are disabled.

4.2 Mobile Application Analytics and Data Collection

Our mobile applications use analytics services and data collection tools to help us improve our apps and provide better service:

  • Analytics Services: We use third-party analytics tools (such as Firebase Analytics and Crashlytics) to help us measure traffic, usage trends, crash information, and app performance. These tools collect information sent by your device, including the screens you visit, actions you take within the app, app performance metrics, and crash reports. This analytics information is generally collected in aggregate form such that it cannot reasonably be used to identify any particular individual user.

  • File Access and Storage: When our app accesses your device's storage (using permissions like READ_EXTERNAL_STORAGE), we only access files and media that you specifically select for upload or that are necessary for app functionality. We do not scan or collect information about other files on your device without your explicit selection.

  • Crash Reporting: Our app collects crash reports and error logs to help us identify and fix problems. These reports may include technical information about your device at the time of the crash, but do not contain personal content from your device.

  • Cached Data: Our app may store data temporarily on your device to improve performance and enable offline functionality. This cached data is stored securely on your device and typically includes app resources, temporary files, and limited user data necessary for app functionality.

4.3 Third-Party Terms and Conditions

Our mobile applications are distributed through app stores operated by third parties, such as Apple's App Store and Google's Play Store. Your download and use of our applications may also be subject to these third parties' terms and conditions and privacy policies. We encourage you to review these documents before downloading and using our applications.

4.4 Mobile App Identifiers

On mobile devices, we or our third-party partners may use mobile identifiers such as Apple's IDFA (Identifier for Advertisers) or Google's Advertising ID for similar purposes to those described throughout this policy. Mobile platforms have permission systems for specific types of device data, such as location services and push notifications. You can change your settings on your device to either consent or oppose the collection of the corresponding information or the display of the corresponding notifications.

5. What information we do not collect

We do not intentionally collect "Sensitive Personal Information", such as personal data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, and the processing of genetic data, biometric data for the purpose of uniquely identifying a natural person, data concerning health or data concerning a natural person's sex life or sexual orientation.
